How Dara Eases Hospital Workloads

Hospital staff have more responsibilities than ever, whether it’s managing patient needs, coordinating with multiple departments, or navigating complex workflows under constant time pressure. Take medical transport. Even simple ride requests can become a daily source of friction, and every minute spent on the phone or entering duplicate data is a minute stolen away from patient care.
Enter Dara.
Dara is DocGo’s comprehensive SaaS platform for medical transport management, an easy-to-use ordering interface integrated with health system Electronic Health Records (EHRs). Historically, transportation requests were handled by phone, a time-consuming, repetitive process that offered little visibility and even less control. Now, with Dara, it takes just minutes to secure an ETA. The platform seamlessly integrates with all transportation vendors, enabling users to order and manage every mode of vehicle, increasing efficiency, and delivering much-needed transparency through real-time tracking.
Making Staff Work Easier
“Staff in hospitals are stretched thin,” said Amanda Shell Jennings, Associate Vice President of Marketing at DocGo. “Anything we can do to make their workday easier by reducing administrative work gives them time back that can be focused where it matters most – on patient care and support.”
Even seemingly minor process improvements can make a meaningful impact. That’s why DocGo has made request time a key area of focus, taking a closer look at system performance, time-on-task, and where staff were losing valuable minutes.
“We’re constantly looking at what people spend the most time on and asking how we can make it faster,” said Risat Haque, Product Manager at DocGo. “Even something as simple as choosing a destination, we found that it took more time than expected. Now we’re improving that workflow.”
Smarter Requests Start with Automation
Dara’s integration with Epic (the most widely used electronic health record (EHR) system in the U.S.) pulls key patient information directly into the request, minimizing manual entry and reducing errors. In about 20% of cases, the patient’s home address is the destination. We created a one-button click to auto-populate the patient address into the destination field, which we’re already pulling in from Epic. Dara is actively giving users smarter defaults and saving clicks at every step.
A standard EHR integration will automatically populate:
- Date of Birth
- Patient First and Last Name
- Patient Home Address
- Patient Phone Number
- Patient Height and Weight
- Person Requesting Transport (including phone number)
- Primary Medical Insurance Name
- Primary Medical Insurance Number
- Secondary Medical Insurance Name
- Secondary Medical Insurance Number
“Before, that kind of information gathering and manual data entry slowed everything down, and caused potential errors. Now, almost everything is generated automatically, filled in accurately, and doesn’t hold up the ride,” said Matt Koslosky, Director of Business Development at DocGo.
DocGo’s advanced integration with Epic’s Grand Central transfer module automatically pulls in even more data fields, including referring and receiving hospital unit/department, room, chief complaint, required equipment and level of service.
Satisfied Customers, Real Results
Dara brings hospital transport ordering into the 21st century with a single, intuitive request window that delivers an enhanced user experience. Frontline feedback from nurses, admins, and dispatch teams helps to shape the platform and hospitals feel the difference.
“What used to take multiple phone calls now happens in one window launched directly within the hospital’s own IT infrastructure and existing staff workflows,” Shell Jennings shared. “We’ve seen hospitals go from tracking transportation with phone calls and spreadsheets to a comprehensive digital transportation management platform and the impact is incredible. One of our large health system partners here in New York City literally sang a song to the team about how happy they were with the new platform – they could finally rely on transport to arrive when they expected! It sounds made up, but it’s true.” By lightening the administrative burden, Dara frees up clinical staff to focus on what really matters…patients.
Making Life Easier
Dara’s seamless ordering experience directly supports patient throughput by reducing the time it takes to coordinate a ride, complete required documentation, and assign a transportation provider. That means beds turn over faster, delays shrink, and care teams can better manage their time. Haque summed it up perfectly:
“It’s a rare privilege to work on software that gives hospitals the tools to actually make their jobs easier. We’re building a platform that evolves with the challenges of modern healthcare, delivering the relief our dedicated providers truly deserve.
